1. Acceptance of Terms

These Terms and Conditions govern your use of the Riverhill Rentals LLC website, online booking services, and related rental services. By using our website, making a reservation, or renting equipment, you agree to these terms and any applicable rental agreement and booking terms. If you do not agree, please do not use our website or rental services.

2. About Riverhill Rentals LLC

Riverhill Rentals LLC provides trailer rental services for personal, residential, recreational, and commercial uses. Available rentals may include enclosed cargo, utility, dump, and equipment trailers. Availability, specifications, rates, and requirements may vary.

3. Reservations and Booking

Reservations may be submitted through our website and third-party booking services. A reservation is subject to availability, any required payment, completion of verification, and acceptance of applicable rental terms. Customers must provide accurate contact, reservation, and intended-use information. We may decline or cancel a reservation for unavailability, safety concerns, failed verification, payment issues, suspected fraud, or failure to satisfy rental requirements. Refunds, if due, will be handled under the cancellation policy, rental agreement, and applicable law.

4. Rental Eligibility and Verification

Before a rental begins, customers may be required to verify identity, provide or verify applicable automobile insurance, confirm the towing vehicle and equipment are suitable, meet age or licensing requirements, accept the rental agreement, and complete other reasonable verification steps. Requirements may vary by trailer and rental circumstances. If verification cannot be completed, a reservation may be delayed or canceled under the applicable rental terms and law.

5. Payment, Fees, and Pricing

Rental prices, rental periods, deposits, taxes, and other applicable charges will be disclosed during booking or in the rental agreement. Customers authorize applicable payment providers to process charges presented at checkout. Additional charges may apply where permitted by the rental agreement and law, including documented charges for late returns, damage, excessive cleaning, or missing equipment. Payment processing fees must be disclosed before payment. Promotions are subject to their stated conditions and availability.

6. Cancellation and Rescheduling Policy

Cancellations at least 24 hours before pickup

Cancellations made at least 24 hours before the scheduled pickup time are eligible for a refund, less the 3% payment processing fee, subject to applicable law and the terms disclosed at booking.

Cancellations less than 24 hours before pickup

For cancellations made less than 24 hours before the scheduled pickup time, customers may choose to reschedule, subject to availability, or receive a refund of 50% of the applicable rental amount in the form of a rental credit. The credit must be used within one year of issuance and is subject to reasonable redemption conditions disclosed when issued.

How to cancel or reschedule

Contact us at 315-854-2376 or info@riverhillrentals.com. The scheduled pickup time determines which cancellation period applies. Rescheduling depends on availability and may involve a price adjustment for different dates or rates. Nothing in this policy limits rights that cannot legally be waived.

7. Self-Service Pickup and Return

Our trailer pickup and return process is self-service and contactless. Customers must complete required verification and rental procedures before pickup. When applicable, access instructions and a code will be provided approximately 30 minutes before the reservation begins. Do not access a trailer before the authorized rental period or share access codes with unauthorized people.

Pickup inspection

  • Inspect the trailer and its visible condition.
  • Photograph all four sides of the trailer.
  • Submit the required photographs before leaving with the trailer.
  • Report visible damage, missing equipment, or safety concerns before departure.

If a trailer appears unsafe or materially different from its described condition, do not tow it until the concern has been addressed.

Return procedures

  • Return the trailer to the designated location by the agreed return time.
  • Secure the trailer as instructed.
  • Return keys to the designated lockbox, where applicable.
  • Submit photographs showing all four sides of the returned trailer.
  • Report damage, mechanical issues, or incidents that occurred during the rental.

Failure to follow inspection or return procedures may make it harder to resolve condition disputes, but does not by itself establish responsibility for damage.

8. Customer Responsibilities and Safe Towing

Customers are responsible for ensuring their towing vehicle, hitch, coupler, safety chains, electrical connection, brake controller, tires, and other equipment are suitable for the trailer and intended load. Customers must comply with applicable towing and weight limits, secure and distribute cargo properly, use required safety equipment, operate lawfully, prevent unauthorized use, and return the trailer and included equipment as agreed. Customers must not overload, misuse, modify, abandon, sublease, or use a trailer for unlawful purposes. Stop using a trailer if a serious safety issue develops and contact us as soon as reasonably possible.

9. Damage, Loss, Theft, and Accidents

Customers must promptly report accidents, theft, damage, and mechanical problems. Customers may be responsible for damage, loss, theft, missing equipment, or other costs to the extent provided in the rental agreement and permitted by law. We may review pickup and return photos, inspection records, communications, and other relevant evidence. Customers should not make unauthorized repairs or admit liability on our behalf. Nothing in these terms eliminates rights or defenses under applicable law or any insurance coverage that may apply.

10. Prohibited Uses

Unless expressly authorized in writing, customers may not exceed rated capacity; use a trailer unsafely or unlawfully; tow with unsuitable equipment; allow unauthorized use; remove identifying information or safety equipment; alter, sell, lend, or sublease a trailer; or use it beyond the agreed rental period without authorization. Trailer-specific instructions and the rental agreement may contain additional restrictions.

11. Website Information and Availability

We make reasonable efforts to keep website listings, photos, specifications, prices, and availability accurate. Information may occasionally require correction or updating, and a listing does not guarantee availability for every requested reservation. Material errors affecting a reservation will be addressed under the booking terms and applicable law.

12. Third-Party Services

Our website may use third-party services for booking management, payments, analytics, maps, hosting, and other functions. Those providers may have their own terms and privacy policies. This section does not limit responsibilities imposed on us by law.

13. Intellectual Property

Unless otherwise indicated, website text, branding, logos, photographs, and original materials are owned by or used with permission by Riverhill Rentals LLC. You may not reproduce, distribute, modify, or commercially use these materials without authorization, except as permitted by law.

14. Limitation of Liability

To the extent permitted by law, Riverhill Rentals LLC will not be liable for indirect, incidental, special, or consequential damages arising from website use or rental services where such liability may lawfully be limited. Nothing in these terms excludes or limits liability that cannot legally be excluded or limited, including applicable rights concerning negligence, personal injury, consumer protection, or other nonwaivable obligations. Responsibility for a particular rental is also governed by the applicable rental agreement and law.

15. Indemnification

To the extent permitted by law, customers are responsible for losses, claims, or expenses arising from their unlawful conduct, misuse of a trailer, or material breach of the rental agreement, to the extent attributable to their acts or omissions. This section does not require customers to indemnify us for liability that cannot legally be shifted to them.

16. Privacy

Our collection and use of personal information are described in our Privacy Policy, available on our website.

17. Changes to These Terms

We may update these terms from time to time. Updates will be posted on this page with a revised effective date and will apply prospectively to the extent required by law. Changes affecting an existing reservation will be handled under the applicable booking terms and law.

18. Governing Law

These terms are governed by New York State law, without regard to conflict-of-law principles, except where applicable law requires otherwise. Disputes will be handled by a court or other forum with proper jurisdiction, subject to applicable consumer protection laws and any valid agreement between the parties.
